Booth Set-Up/Tear Down
A reminder that each booth space is a total of 8' wide. It includes a 6' table and two chairs.
Set up time for the Trade Show is 12:00 – 4:30pm. The Trade Show begins at 5:30 pm. You must have your booth set up and ready to go prior to 5:30 pm. Be sure to register when arriving.
PLEASE DO NOT TEAR DOWN YOUR BOOTH BEFORE 8:30 PM! We are making every effort to shorten the prize distribution time. We can confirm that no other apartment association trade show in Florida is shorter than ours, in totality.

Prizes
Please bring 2 prizes. Please note that some prizes may be given away at the after-party if time doesn't permit it during the show. If you have more than two, we will also give those away at the after-party or on social media. (Please remember that suppliers are not eligible to win prizes, only apartment management representatives!!)
- One prize will be allocated as your “Booth Prize” (the winner will be drawn by the emcee along with your company representative). We will draw from the cards you collect at your booth.
- One prize will be allocated for the event stamp card drawing that the attendees turn in after visiting booths.
- If you'd like to provide more than two prizes, we encourage you to make two larger prizes as opposed to having three to four drawings due to time limitations. Additionally, if you'd like to just bring one combined larger prize, that's fine too.
- At registration, we will collect the NCFAA stamp card prize and you will hold on to your booth prize until the official announcements & recognition at the end of the show.
Venue & Day of Reminders:
Drink Tickets: The venue will have two cash bars that accept cash & credit cards. If you need to purchase drink tickets in bulk to give to clients, in advance of the show, you are welcomed to purchase them through NCFAA here: https://www.ncfaa.net/events/trade-show-2026/register. You don't need a ticket to purchase a drink however, you can simply pay with your credit card at the bar, as needed
Food for Suppliers: The NCFAA will provide sandwiches, chips & cookies for suppliers during set-up from 12 - 3:30 pm, while supplies last.

8:30 PM - 9:30 PM Next Gen After-Party - Located in the Hotel Bar (all ages are invited)
Exhibitor Meeting: We will have a brief meeting with all suppliers at 5 pm at the stage area on the day of the show. We will also have a zoom call at noon the Tuesday prior (5/19/26) to answer any questions and to share more details. We will send you a calendar invite with a link.
Hotel Room Block Information: A discounted room rate of $139 can be obtained by calling or emailing the Hilton directly.

NCFAA Trade Show Cancellation Policy: 30-day minimum cancellation notice for a full refund. Cancellations within 21 days of the event will be charged 1/2 of the show fee. Cancellations within 14 days of the event date will be charged the full fee.
